Member documents and automatic reminders

Store medical certificates, parental consents and trigger reminders before expiration.

Member documents

Kimono is each member's document vault: medical certificate, parental consent, insurance proof and so on.

Document types

Configure types from Admin → Organization → Document types:

  • Name (e.g. Medical certificate).
  • Required (yes / no) — blocks competition entries or not.
  • Validity in months (e.g. 12) — used to compute expiration.
  • Description — instructions visible to the member.

Upload a document

From the admin

Admin panel → Members → [member] → Documents tabAdd.

  1. Document type.
  2. File (PDF, JPG, PNG).
  3. Issue date.
  4. Optional notes.

Expiration date auto-computed from the type's validity.

From the member

The member can upload from their panel or the mobile app. Staff sees the document under the tab and can approve or reject it.

Automatic reminders

Every Monday at 09:00, Kimono auto-scans:

  • Missing required documents → email to the member.
  • Documents near expiration (D-30, D-7, D-0) → email to the member.
  • Already-expired documents → email + flagged status for staff.

Reminders can be disabled or customized under Organization → Email settings.

Use case — season kick-off

September is coming. You want every member to provide a fresh medical certificate for the 2026-2027 season.

  1. Make sure Medical certificate has a 12-month validity.
  2. Kimono auto-sends D-30 reminders for certificates expiring in September.
  3. From the admin, filter members: Required documents missing.
  4. Targeted email blast to that segment.

Use case — restrict competitions without a certificate

Mark the medical certificate as required. When the member tries to register for a competition Event, Kimono checks for presence + validity. Missing or expired → entry blocked, member sees the reason.
